Your role:
The Site Administrator will perform a wide variety of routine administrative and supporting tasks for upcoming BioReliance biologics safety testing facility in Singapore. Responsibilities include expense claim filing from EDB (Singapore Govt), logistics arrangement for client and regulatory audits, general office supply management and housekeeping, supporting site head and site leadership team in basic administrative matters, preparation of reports and presentations, management of team meetings and high-level calendar schedules. The ability to maintain effective working relationships with site head, scientists and laboratory personnel will be critical for success in the role.

The post holder will be able to perform the following functions.

Brief role description:
Acting as the administrative point of contact between the executives and internal/external clients

Processing expense claim from company and government authorities (EDB)

Undertaking the tasks of receiving calls, take messages and routing correspondence

Handling executives’ requests and queries appropriately

Handle requests and queries appropriately

Maintain diary, arrange meetings and appointments and provide reminders

Make travel arrangements

Take dictation and minutes and accurately enter data

Monitor office supplies and research advantageous deals or suppliers

Produce reports, presentations and briefs

Develop and carry out an efficient documentation and filing system

Who you are:
Education:
High School degree; O level equivalent. Additional qualification as personal assistant would be considered an advantage

Experience:
Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position

Full comprehension of office management systems and procedures

Excellent knowledge of MS Office

Proficiency in English

Exemplary planning and time management skills

Up-to-date with advancements in office gadgets and applications

Ability to multitask and prioritize daily workload

High level verbal and written communications skills

Discretion and confidentiality

Additional Local Needs

Ability to speak multiple languages (Chinese / Korean/ Japanese) would be a plus
