Job purpose

To work with team members in ensuring smooth operation of Admin/HR department.

Primary responsibilities

  • Ensuring accuracy on job performance
  • Ensuring internal customers’ purchase requisition are fulfilled
Ensuring vehicles’ road tax and VPC are renewed on time Ensuring sufficient A4/A3 papers are delivered by Fuji Xerox Ensuring fully compliance for Workplace Safety & Health requirement. Duties/ Scope of work MAINTENANCE OF VEHICLES : Road Tax Renewal (Monthly) Upon received renewal notice from LTA, sort and email list of Prime Movers and Trucks to CEO for approval to renew road tax before necessary arrangement for inspections. After approval, sort the list of Prime Mover and Trucks that require inspection according to departments and email to various department to arrange for inspection. Check with One-motoring online regularly for update before expiry date. Sort the list of Trailers that require inspection, email to inspection centre for inspection. Check with One-motoring online regularly to ensure all inspection done before the Road Tax expiry date. Inform Operation Manager if Inspection not done by the date as requested. Prepare list of vehicles that require VPCs according to different vendors. Either email or fill up forms and get signatures from vendors before purchasing of VPCs. Check with One-motoring online regularly for update before expiry date. To purchase new VPCs from HDB: must go to any of the branch office with log card, road tax disc and company letter. Make sure that the vehicle has a valid season parking ticket for the following month before purchases. Check with One-motoring online regularly for update before expiry date. Renewal of HDB VPC can be done online. To purchase and renew VPCs from URA: purchase and renewal can be done online, must have a valid season parking ticket with URA. Upon receipt of original road tax disc, photocopy a set for Finance; pass original disc to respective department. Update road tax/VPC reports in I: drive (Road Tax Renewal) Arrange cheque payment for road tax renewal and ensure renewal is done on time (for manual renewal which road tax payment did not make it before giro deduction date). Check One motoring online for outstanding road tax by daily Source for VPCs supplier if required or when existing VPCs supplier unable to renew Apply/cancel Prime Mover’s CVEP with PSA, when necessary and/or requested. Summonses and Season Parking : Received Summons/Summonses, update into J-Drive, Summonses, scanned and email to various department Manager-in-charge for driver’s particulars. Follow up and get back within three (3) working days. After which furnish and email the particulars to the respective authorities. Update the particulars into J-Drive. Assist to write appeal letter if drivers have valid reasons, follow up on the status. Source for season parking lot when requested by driver(s) after HOD approval. Do transfer of season parking if there is a change in driver, must ensure a valid VPCs before the transfer. To submit temporary season parking application when necessary and/or requested. Update into I-Drive Renewal/Application of TERP Plan and Renewal of Petroleum and Flammable Materials Transportation Licence (Yearly) Fill in TERP Card Package Transportation and upload for renewal. Renew TERP Plan via www.scdf.gov.sg website. Renewal can only be done three (3) months before the expiry date, i.e. by 3rd week of May. Fix appointment with Astrata two(2) months before the licence expiry date for inspection After Astrata inspection, fix appointment with JIC Inspection Centre at 53 Pioneer Road, 6865 1518 for inspection. Fill in Vicom/JIC FS 2005 Inspection Form bring along with SCDF Acknowledgement letter for JIC inspection. After both inspection have passed, log into SCDF website to do renewal of Petroleum and Flammable Materials Transportation Licence Get ready driver’s renewed Hazmat license, Astrata Inspection Certificate, JIC Inspection Certificate, TERP Acknowledgement letter and LTA Inspection Certificate to be uploaded for renewal. After receiving the licence, make a photocopy for record and pass the original to Operation Manager. PURCHASES Create Purchase Order using SAP system for suppliers who require Purchase Order. Business Partner account must be created for new vendors, to submit request to Accounts Department before proceed. Replenish carton boxes when necessary/as requested. Replenish stationery and pantry items when necessary/as requested. Order of Company’s uniforms, approximate delivery time, 6 to 8 weeks. Order of PPE when necessary/as requested. Indent buffet, hamper, barbecue pork slice, mandarin oranges, flower basket, wreath, for any festival or special ad hoc occasions Liaise with Telco, Grid communication of all mobile phones, walkie talkie issues, including application, renewal and repair Assists in sourcing for new vendors that offer better price, quality and services. Source for quotations for special items when necessary/as requested Others Fax Notification of Hazardous Materials Transportation to SCDF on every Friday/Monday for vehicle, to allow driver drive through expressway Record daily outgoing mails for posting. Collect incoming faxes and mails daily, distribute accordingly. Provide receptionist duties; include answering company's main telephone line, serve drinks to visitors, booking of conference room. Assists HR/Admin manager in ISO surveillance/re-certification audits (Purchasing) Assist Manager in managing part-time cleaner’s duties, including apply leave, replenish groceries etc. Other job duties as assigned by Managers. Qualifications
  • Minimum O level
  • Knowledge in admin
  • Able to work in fast paced working environment
  • Computer literate
  • English writing and speaking skill
  • Bilingual (English and Chinese, to attend to PRC staff purpose)
  • Good communication skill
  • Meticulous in details
  • Min 1 year experience in admin
