Executive Assistant Renewable Contract Jobs Vacancy in Links International Jobs Details:

A top tier investment firm is looking take onboard an Executive Assistant to support 1-2 teams of Executives in the full spectrum of secretarial and administrative support. This role is a contract which is renewable based on several factors including headcount allowances and performance.

Key Responsibilities
  • Calendar management
  • Scheduling of meetings for managers
  • Assist with business travel arrangements (flights, transfer, accommodation, ensure validity and availability of travel documents, adhere to travel guidelines)
  • Monthly expense reporting via Concur for the managers
  • Update the Outlook contacts with full details (contacts, addresses, travel arrangements, etc.)
  • Support team in active relationship management by entering new contacts and maintaining existing contacts in CRM, and ensuring the accuracy of the information entered for client facing teams only
  • Responding to meeting requests from internal and external stakeholders for manager’s availabilities
  • Printing, photocopying, scanning, binding, faxing and preparing documents and delivery
  • Organizing and maintaining files for both electronic and hard copy documents
  • Booking of conference rooms
  • Booking of restaurants for client meetings / internal team events
  • Answering of incoming calls and attend to guests/visitors
  • Travel Portal - Allocation of open desk for overseas staff
  • Perform other job-related duties as assigned

Key Requirements
  • At least 3-4 years of experience providing secretarial and administrative support to executives within the banking & finance industry
  • Proactive and takes initiative to go the extra mile
  • Ability to manage sensitive & confidential information
  • Excellent written and oral communication skills
  • Hardworking; ability to thrive in a deadline driven and fast paced environment
  • Excellent attention to detail; proactive and efficient with the proven ability to take initiative and plan ahead
  • Organized; good time management skills with a strong ability to multi-task and manage conflicting priorities
  • Proactive team player who can work independently and work as part of a team
  • Experienced in Microsoft Office, and comfortable learning new technologies/applications
